EXECUTIVE SECRETARY / ASSISTANT
Key Responsibilities
Provide administrative support to CEO and senior executives
Organize and manage the COO’s calendar, including scheduling appointments, meetings, and travel arrangements
Attend meetings, take minutes, and ensure follow-up on action items
Prepare reports, presentations, and other documents as required
Handle incoming and outgoing correspondence (email, letters, etc.) in a timely manner
Handle sensitive or confidential information and documents with utmost confidentiality and discretion
Maintain safe electronic and paper records to ensure they are properly filed and easily retrievable
Perform ad-hoc projects or any other duties assigned
Requirements
Hong Kong permanent resident status
Bachelor’s degree in business administration, language or related discipline
Higher diploma with formal secretarial training and qualification will also be considered
Minimum 2 years’ relevant experience in executive secretary or similar administrative role
Previous experience in serving senior management is preferable
Fresh graduate with good language skills (English, Chinese -Putonghua and Cantonese), and organizational and time management skills will also be considered
High level of integrity and sensitivity in handling sensitive information
Excellent command of written and oral English and Chinese (Putonghua and Cantonese)
Proficiency in computer skills, including Microsoft Office and Chinese word processing
Strong communication and interpersonal skills
Independent, well-organised with strong attention to detail and accuracy
