Job Description

We are seeking an Executive Secretary to provide essential support to our CEO and senior executives.  You must possess exceptional time-management and multitasking skills to handle multiple responsibilities efficiently and independently, and are expected to handle sensitive and complex issues in a professional and discreet manner.

This position also demands a high level of proficiency in both written and oral English and Chinese, including Putonghua, as the successful candidate may be required to prepare documents in both languages for meeting & reporting purposes.

Key Responsibilities

  • Provide administrative support to CEO and senior executives
  • Manage their schedules, including arranging and coordinating appointments and meetings
  • Prepare minutes, reports, meeting materials and agendas
  • Handle incoming and outgoing correspondence (e-mail, letters, etc.) in a timely manner
  • Handle sensitive or confidential information and documents discreetly
  • Safe keeping of electronic and paper records to ensure they are properly filed and easily retrievable
  • Make travel arrangements
  • Perform ad-hoc projects or any other duties as assigned

Requirements

  • Hong Kong permanent resident status
  • Formal secretarial training and qualification, or a degree in a relevant discipline
  • At least 5 years of relevant experience.  Previous experience of working for senior management personnel is a must
  • High level of integrity and sensitivity in handling sensitive information
  • Excellent command of written and oral English and Chinese (Putonghua and Cantonese)
  • Proficiency in computer skills, including Microsoft Office and Chinese word processing
  • Strong communication and interpersonal skills
  • Independent, well-organised with strong attention to detail and accuracy

  7. If you are invited to attend an interview or a test but are not further contacted by the Company within 8 weeks of your attendance of the interview or test, you may consider your application unsuccessful.
